About the role
We are looking for a highly organised Administrative Support Executive to join our busy State Services team in Dublin. The role offers the chance to work with internal and external stakeholders, manage day‑to‑day administrative tasks and support fleet‑related activities while developing advanced Excel expertise.
Key responsibilities
- Provide comprehensive administrative support to the State Services team.
- Handle phone and email enquiries via shared inboxes.
- Maintain accurate system updates, data entry and regular reporting.
- Manage scheduled tasks on a daily, weekly and monthly basis.
- Support fleet administration including fuel cards, toll tags, vehicle collections, hire cars, fines, road tax, GPS and pool vehicles.
- Coordinate CVRT administration with internal teams and external suppliers.
- Assist with vehicle ordering, deliveries and logistics planning.
- Liaise with other departments to resolve queries efficiently.
- Attend team meetings, record minutes and track actions.
- Ensure adherence to procedures, timelines and service standards.
Required profile
- Minimum 1 year of experience in an administrative role.
- Excellent verbal and written communication skills.
- Strong customer‑service mindset with a friendly, professional approach.
- High attention to detail and accuracy.
- Organised, adaptable and able to manage fluctuating workloads.
- Collaborative team player who remains calm under pressure.
- Proactive attitude with the ability to see tasks through to completion.
