Office Manager (Maternity Cover)

About the role

Catalyx is seeking an Office Manager to cover a maternity leave. The role is the front‑line representative of the company, ensuring smooth daily operations and a professional environment for guests, employees and visitors.

Key responsibilities

• Greet guests and maintain a customer‑focused demeanor.
• Support the senior leadership team during customer onsite visits.
• Manage incoming communications and direct phone calls via Microsoft Teams.
• Organise internal and external meetings, company events and social activities.
• Handle ad‑hoc travel enquiries for staff.
• Oversee vendor relationships, including couriers, cleaning, mobile providers and other services.
• Maintain office facilities, meeting rooms and kitchen areas, and coordinate maintenance activities.
• Support the Health Safety Committee and ensure workplace safety standards.
• Collaborate with Finance on PO and credit‑card reconciliation using Concur.
• Assist with fleet administration and support HR on employee engagement and internal communications.
• Provide flexible administrative support and undertake additional ad‑hoc duties as needed.

Required profile

• Minimum 4 years experience as an office administrator or executive assistant in a busy organisation.
• Strong management and organisational abilities with capacity to juggle multiple priorities.
• Problem‑solver with meticulous attention to detail.
• Adaptable, strategic thinker with trustworthy character.
• Proven experience in fast‑paced, dynamic environments.
• Excellent interpersonal, written and verbal communication skills.
