Scheduling Coordinator – Team Leader

About the role

We are looking for a Scheduling Coordinator‑Team Leader to oversee the rostering and day‑to‑day scheduling operations for our network of caregivers. The role combines hands‑on roster management with team leadership to ensure high service standards for clients and caregivers.

Key responsibilities

• Organise all rotas and staffing requirements, maintaining the client service schedule in our in‑house CRM (People Planner).
• Monitor caregiver hours, enter time‑keeping data and ensure accurate reporting.
• Lead the Scheduling Team to meet KPIs set by the General Manager, aligning daily work with the broader business vision.
• Assign tasks based on team members’ strengths and manage on‑call phone duties as required.
• Handle client and caregiver concerns, mediate issues and log interactions.
• Develop and maintain strong relationships with caregivers and clients, encouraging regular communication.
• Respond decisively to emergencies and manage incoming calls professionally.
• Perform any additional duties necessary to support the office.

Required profile

• Third‑level qualification in Business or Healthcare (preferred, not essential).
• Proven ability to manage and motivate a team.
• Strong conflict‑resolution, problem‑solving and adaptability skills.
• Excellent oral and written communication, with a positive and professional attitude.
• Integrity, resilience and willingness to share on‑call responsibilities.

Required skills

• Proficiency with Excel for data analysis.
• Experience using People Planner and other CRM systems.
