Buyer's Administration Assistant – Retail Buying

About the role

Avoca is seeking a proactive Buying Administration Assistant to support its Retail Buying team at the Kilmacanogue head office. You will work across fashion, accessories, homeware and beauty, ensuring smooth administrative processes that keep the supply chain moving.

Key responsibilities

• Monitor critical path and delivery schedules for product orders.
• Coordinate regular catch‑ups with internal departments, including warehouse and store teams.
• Liaise with suppliers to obtain order confirmations and manage daily communications on order issues, shortages, or non‑compliant deliveries.
• Allocate stock, manage inter‑store transfers, and raise purchase orders and product splits for multiple departments.
• Conduct trend research, comparative shop analysis, and feed insights back to buyers.
• Create reports and sales analyses to support buying decisions.
• Prepare buyer packs for appointments and assist with range planning and picture sheets.
• Maintain the supplier bible, manage samples across all departments, and support product launches.
• Provide ad‑hoc administrative support to the buying team as needed.

Required profile

• Previous experience in a buying administration or retail support role.
• Comfortable working in a fast‑paced environment.
• Strong interest in data analysis and retail processes.
• Immediately available to start.
