Customer Claims Officer

About the role

The Customer Claims Officer will manage the end‑to‑end claims and funding processes for CMS Distribution Limited’s customers and vendors. Working closely with sales, finance, credit control and external partners, you will ensure that funding requests, claims and credit notes are processed accurately, on time and in line with company procedures.

Key responsibilities

• Prioritise and handle daily requests in the Customer Claims Helpdesk, meeting SLA targets.
• Drive claims and funding tasks through each workflow stage, securing approvals and updating systems.
• Maintain the Customer Funding workflow in Pipefy, flagging delays or missing information.
• Prepare, validate and submit vendor claims, and issue customer credit notes with correct coding.
• Update Customer Conditions in internal systems to keep pricing and funding rules consistent.
• Monitor aged debt for assigned vendors, initiate follow‑up actions and report status.
• Review internal vendor ledgers, identify discrepancies and coordinate corrective actions.
• Support month‑end activities by preparing claim and funding data for reconciliation and financial posting.
• Analyse sales reports and customer claims, providing clear updates to internal stakeholders.
• Assist with onboarding, training and process documentation to improve data quality and automation.

Required profile

• Strong communication skills for interacting with vendors and internal teams.
• Ability to multitask, work in a fast‑paced environment and prioritize effectively.
• Attention to detail and ownership of tasks from initiation to completion.
• Analytical mindset with experience reviewing financial data and reports.
