Purchasing & Customer Service Specialist

About the role

The Purchasing & Customer Service Specialist ensures seamless flow of materials and services by managing customer orders and supporting procurement activities. Acting as a bridge between customers, suppliers, production, logistics, and internal teams, the role safeguards service levels, inventory targets, and cost efficiency.

Key responsibilities

• Process order confirmations, dispatch notes, credit notes, invoices and shipping documents.
• Source materials, goods and services according to company specifications.
• Manage day‑to‑day purchasing for assigned commodities and suppliers, including PO creation, tracking and expediting.
• Maintain strong supplier communication, resolve issues promptly, and support negotiations and cost‑saving initiatives.
• Monitor inventory levels, expedite critical items, and ensure accurate ERP data (lead times, pricing, MOQ, supplier details).
• Support audits, supplier compliance documentation, and maintain accurate BOM information.
• Handle non‑stock purchases, freight shipments, and import/export paperwork.
• Track purchasing KPIs and proactively mitigate supply risks.

Required profile

• Minimum 2 years of experience in purchasing, customer service, or inventory management.
• Diploma or degree in business or a related field (preferred but not mandatory).
• Self‑motivated, able to work independently and meet deadlines.
• Strong problem‑solving, organizational and communication abilities.
• Capability to mentor or train junior purchasing agents.

Required skills

• Proficiency with ERP systems for data entry and maintenance.
• Understanding of Bill of Materials (BOM) management.
• Familiarity with freight handling and import/export documentation.
