About the role
CoAction West Cork is seeking an Administrator Grade IV on a six‑month fixed‑term contract to support its facilities and service delivery in Dunmanway. The role involves coordinating contractors, handling tickets, and maintaining accurate records to ensure smooth operations for children and adults with intellectual disabilities and autism.
Key responsibilities
- Maintain contractor databases, manage contracts and schedule maintenance.
- Process facilities‑related tickets and manage the facilities inbox.
- Analyse data, generate reports and keep records for facilities management.
- Process purchase orders and invoices, assisting with budget tracking.
- Maintain and update facility documents, policies and procedures.
- Communicate with staff, contractors and vendors to coordinate activities.
- Schedule maintenance work and advise the Facilities Manager on issues.
- Monitor system performance, troubleshoot issues and provide general administrative support.
Required profile
- Strong organisational skills with the ability to plan and prioritise workload.
- Attention to detail and commitment to delivering quality service.
- Ability to work both independently and as part of a team.
- Effective communication skills, both written and verbal.
Required skills
- Experience with contractor and ticket management processes.
- Proficiency in data analysis and reporting.
- Knowledge of purchase order and invoice processing.
- Familiarity with document control and facilities‑related documentation.
