Central Scheduling Administrator

About the role

The Central Scheduling Administrator will be the engine behind the patient booking system for Mater Private Network, supporting both Dublin and Outreach Centres. This full‑time permanent position ensures referrals and appointments are processed efficiently while delivering a patient‑focused service.

Key responsibilities

• Schedule patient appointments and process referral forms for Dublin and Outreach Centres within set timeframes.
• Maximise utilisation of hospital modalities by proactively managing cancellations and refilling slots.
• Serve as the primary point of contact for patients via phone, email, voicemail and text, providing appointment details and preparation instructions.
• Support consultant clinics by preparing required documentation and information for each appointment.
• Maintain accurate records and archives, handling workflows with MS Word, Excel, Outlook, iMedDoc and the Hospital Patient Administration System.
• Uphold the hospital’s standards of care, safety, dignity and respect, and act on feedback to improve service quality.

Required profile

• Leaving Certificate level education.
• Experience in administrative and workflow processes within a healthcare setting.
• Strong coordination, attention to detail and initiative to improve services.
• Resilience to work under pressure and meet tight deadlines.
• Flexibility to adapt working hours to operational demands.
• Willingness to undergo a 6‑month probation period and a pre‑employment health assessment.

Required skills

• Proficiency in MS Word.
• Proficiency in Excel.
• Proficiency in Outlook.
• Experience with iMedDoc (advantageous).
• Experience with Hospital Patient Administration Systems (advantageous).
