Flight Operations Administrator

About the role

The Flight Operations Administrator supports the Flight Operations Department by ensuring crew resources are managed efficiently and in compliance with regulatory and company requirements. This role works 24/7 to keep all bases properly staffed, handling roster maintenance, logistics, and contingency planning.

Key responsibilities

• Manage Pilot and Technical Crew resources across all bases, ensuring statutory, regulatory, company and contractual compliance.
• Maintain and support the published crew roster, covering operational shifts, standby, and training activities.
• Handle day‑to‑day roster disruptions such as absences, sickness, and operational changes, recording absenteeism and punctuality.
• Verify crew qualifications, training status, and availability for assigned duties.
• Arrange accommodation, hotel, and transportation logistics for crew when required.
• Coordinate training events, ensuring qualified instructors and appropriate crew participation.
• Collaborate with Rostering, Flight Operations, Duty Operations and other stakeholders to maintain roster stability.
• Monitor flight hours, duty time, rest requirements and fatigue limits to ensure compliance with FTL, FRM and safety regulations.
• Develop and support contingency plans for short‑term or extended disruptions in line with EASA, IAA and company policies.

Required profile

• Strong understanding of aviation crew scheduling, regulatory requirements and collective labour agreements.
• Excellent organisational and coordination abilities, with attention to detail.
• Ability to work under pressure and adapt to changing operational needs.
• Effective communication skills for liaising with internal and external stakeholders.
