Quality & Training Officer (QMS Administration)

About the role

Waterstone Clinic is looking for a highly organised and detail‑oriented Quality & Training Officer to join its Quality Team. The role focuses on document control and the administration of the electronic Quality Management System (eQMS) to ensure compliance with regulatory, accreditation and organisational requirements.

Key responsibilities

• Maintain day‑to‑day operation of the QMS and guide staff on QMS processes.
• Control document lifecycle: review, authorise, version‑control and distribute documents.
• Coordinate document reviews with owners and track acknowledgements.
• Maintain quality databases, logs (suppliers, recalls, SAE/SAR, risk assessments) and controlled records.
• Monitor incidents, non‑conformances, complaints and change controls within the eQMS.
• Support audit preparation, corrective actions and regulatory inspections.
• Maintain staff training records and ensure compliance with mandatory training.

Required profile

• Experience working with a Quality Management System in a regulated environment.
• Strong administrative and organisational abilities with high attention to detail.
• Ability to manage multiple priorities and meet deadlines.
• Good communication and teamwork skills.

Required skills

• Proficiency in Microsoft Office.
• Experience using an electronic Quality Management System (eQMS).
