Senior Executive Assistant – Luxembourg

About the role

The European Investment Bank is seeking a (Senior) Executive Assistant to support the Ombudsperson at its Luxembourg headquarters. This full‑time, three‑year fixed‑term position offers the chance to work in a highly international environment and includes relocation assistance.

Key responsibilities

• Plan and organise high‑level meetings, missions, receptions and business trips, handling travel logistics and related documentation.
• Maintain and optimise the Ombudsperson’s agenda, prioritising competing demands and adjusting schedules proactively.
• Act as the central liaison between the Office of the Ombudsperson and internal/external stakeholders, ensuring confidential and timely information exchange.
• Draft, review and follow up on correspondence, preparing accurate replies and meeting deadlines.
• Prepare, quality‑check and submit documents for the Ombudsperson’s approval, and manage filing systems (electronic and paper) to guarantee data quality and easy retrieval.
• Provide ad‑hoc administrative, research and event‑support, including project‑related tasks.
• Accompany the Ombudsperson on missions to EIB Group offices when required.

Required profile

• Proven experience as an executive assistant, preferably at senior level, within a complex, multicultural organisation.
• Strong judgement, discretion and the ability to handle highly confidential information.
• Excellent organisational and prioritisation skills, with a proactive approach to problem‑solving.
• Ability to work autonomously and coordinate sensitive matters across multiple stakeholders.
• Willingness to travel and accompany the Ombudsperson on missions.
