Administrator (Grade IV) – 35 hrs/week

About the role
The Administrator (Grade IV) will support CoAction West Cork’s facilities and service delivery in Dunmanway. Working 35 hours per week on a six‑month fixed‑term contract, the role ensures smooth coordination between contractors, staff and vendors to maintain a safe and efficient environment for service users.
Key responsibilities
- Maintain contractor databases, manage contracts and coordinate maintenance schedules.
- Handle facilities‑related tickets and manage the facilities inbox.
- Analyse data, generate reports and keep records for facilities management.
- Process purchase orders and invoices, assisting with budget monitoring.
- Maintain and update facility documents, policies and procedures.
- Communicate with staff, contractors and vendors to ensure timely completion of tasks.
- Schedule maintenance works and advise the Facilities Manager on issues.
- Monitor system performance, troubleshoot issues and provide general administrative support.
- Order supplies and compile monthly reports as required.
- Maintain accurate records of maintenance activities, inventory and safety compliance.

Required skills
What we offer
- Competitive Grade IV salary scale ranging from €34,672 to €52,969 per annum, dependent on experience.
- Six‑month fixed‑term contract with the possibility of extension.
