Customer Care Advisor & Planner (Administrator)

About the role

We are looking for a proactive Customer Care Advisor and Planner to manage engineer appointments and support our field service operations in Ireland. The role combines administrative duties with route planning to ensure timely service delivery and high customer satisfaction.

Key responsibilities

• Schedule and coordinate engineer appointments using planning and response systems, meeting client deadlines.
• Optimise daily work routes for engineers to maximise productivity and operational efficiency.
• Liaise with clients, tenants, engineers, supervisors and internal teams to arrange work schedules and resolve queries.
• Monitor client KPIs, service levels and contractual timescales, ensuring compliance.
• Process work‑order variations, arrange follow‑up appointments and maintain accurate administrative records.
• Handle invoices, job completion records and customer satisfaction surveys according to company procedures.
• Support onboarding and training of new staff on scheduling systems and processes.
• Prioritise multiple tasks, manage changing workloads and respond to urgent scheduling requests.

Required profile

• Previous experience in an administrative, scheduling, planning or coordination role.
• Excellent organisational and time‑management abilities with a focus on meeting strict deadlines and KPIs.
• Strong verbal and written communication skills for handling telephone and email enquiries.
• High level of accuracy in data entry, record keeping and documentation.
• Ability to work both independently and collaboratively in a fast‑paced environment.
• Professional, customer‑focused attitude when dealing with clients, tenants and stakeholders.

Required skills

• Proficiency with Microsoft Office, especially Excel, Word and Outlook.
