Executive Assistant – European Trading Team

About the role
We are looking for an experienced Executive Assistant to provide dedicated support to the Head of European Trading and three senior trading managers. The role operates in a fast‑paced trading environment, requiring proactive calendar and travel management, meeting coordination and day‑to‑day administration.
Key responsibilities
- Manage complex, multi‑time‑zone calendars for senior trading leaders, prioritising meeting requests and protecting focus time.
- Coordinate internal and external meetings, book rooms and virtual facilities, circulate agendas and materials.
- Arrange domestic and international travel, including multi‑city itineraries, visas, accommodations and rapid response to disruptions.
- Process expenses, prepare documents and presentations, and maintain organised records and contact lists.
- Facilitate visits from colleagues in other offices, organise workspace, meet‑and‑greet logistics and business hospitality.
- Exercise independent judgement as a gatekeeper, challenging or declining meetings when appropriate and making routine travel decisions without executive approval.
Required profile
- Proven experience as an executive assistant in a dynamic, high‑pressure environment.
- Exceptional organisational skills and the ability to anticipate needs.
- Strong discretion and sound judgement when handling confidential information.
- Ability to work autonomously and make independent decisions regarding schedules and travel.
