Workplace Services Coordinator

About the role

MathWorks is seeking a Workplace Services Coordinator to manage day‑to‑day office operations at its modern office near Eyre Square in Galway City. The role focuses on creating an efficient, collaborative, and safe workplace while supporting employee experience and company growth.

Key responsibilities

• Organise office operations, facilities, staff amenities and manage external contractors.
• Build relationships with internal stakeholders to enhance the workplace experience.
• Plan and execute internal events, food programmes and seasonal outings, handling venue selection, budgeting and negotiations.
• Support recruitment and relocation processes for new hires.
• Lead health and safety compliance, including fire safety, first aid, accident reporting and ergonomic assessments.
• Serve as the primary contact for staff office‑related queries.
• Manage vendor relationships for cleaning, maintenance, supplies and other services.
• Maintain internal workplace systems such as occupancy planning, security/access, maintenance management and help‑desk ticketing.
• Drive workplace projects and contribute to EMEA office initiatives.

Required profile

• Bachelor’s degree or equivalent experience.
• At least one year of professional experience, preferably in facilities or office management.
• Experience in a technology‑focused office environment.
• Strong interpersonal, teamwork and communication abilities.
• High enthusiasm, curiosity, adaptability and a problem‑solving mindset.
