About the role
Weir & Sons is seeking an experienced Executive Assistant to support the Managing Director and the Board of Directors. The role demands a highly organised professional who can manage complex schedules, communications and administrative tasks in a fast‑paced, high‑standards environment.
Key responsibilities
- Maintain the Managing Director’s calendar, email inbox and prioritize appointments, meetings and engagements.
- Handle general administration including filing, expense claims, travel bookings, post processing and archiving.
- Research, capture and compile data for presentations, spreadsheets and customised reports.
- Collaborate with internal and external stakeholders on cross‑functional projects and ad‑hoc initiatives.
- Organise travel, events and logistics for the Board of Directors, including agenda preparation, minute taking and slide‑deck creation.
- Support on‑site and off‑site meetings, ensuring all materials and logistics are in place.
Required profile
- Minimum 5 years experience as an Executive Assistant.
- Highly discreet, confidential and able to work directly with senior executives.
- Self‑motivated, adaptable to ambiguity and change, with strong leadership in administrative support.
- Exceptional attention to detail and organisational abilities.
Required skills
- Advanced proficiency in Microsoft Word.
- Advanced proficiency in Microsoft Excel.
- Advanced proficiency in Microsoft PowerPoint.
