Grade IV Clinical Secretary – Care of the Older Person

About the role

The Grade IV Clinical Secretary will provide administrative support for the Care of the Older Person department at St Joseph’s Day Hospital, Raheny. Working on‑site, you will manage both consultant‑led and nurse‑led outpatient clinics, ensuring smooth patient flow and accurate clinical documentation.

Key responsibilities

• Prepare and run consultant‑led and nurse‑led outpatient clinics, including arranging investigations and documentation before appointments.
• Receive patients on arrival, triage referrals, and discharge patients after consultation.
• Administer and support ZOL infusion admissions and discharges.
• Maintain departmental email, phone and voicemail services and respond to patient queries.
• Liaise with geriatric consultants, NCHDs, MDT members, radiology, ECG, and external hospitals or GPs to obtain results and schedule investigations.
• Perform general office duties such as filing, scanning, posting, supply management and drafting SOPs.
• Track new referrals in the patient information system and generate routine reports.
• Contact patients prior to appointments to confirm attendance and reduce DNA rates.

Required profile

• Previous experience in a clinical administrative role, preferably within a hospital or outpatient setting.
• Familiarity with managing consultant‑led and nurse‑led clinics.
• Ability to work collaboratively with multidisciplinary teams and external health‑care providers.
• Strong organisational skills and attention to detail.

Required skills

• Proficiency with the hospital’s patient information system.
