Reservations Assistant

About the role

We are seeking an outgoing, organised and passionate Reservations Assistant to join our busy team at Ballyfin, a 5‑star luxury country house hotel in Ireland. This full‑time, on‑site position works on a shift basis between 8:00 am and 7:30 pm, supporting a team of five in delivering exceptional guest experiences.

Key responsibilities

• Welcome guests on arrival, coordinate with butlers, and provide orientation, hand towels and welcome drinks.
• Conduct brief tours of reception areas, explain meal times and dining options, and escort guests to their rooms when ready.
• Prepare daily meeting sheets with relevant departmental information.
• Check guests in and out using the hotel system, verify room rates, and ensure accurate billing.
• Handle telephone and email enquiries, manage individual and group reservations, and occasionally lead property tours.
• Maintain up‑to‑date reservation files, collect deposits and guarantees, and communicate guest data to department heads.
• Process reservations from hotel and third‑party websites and prepare group and individual bills.

Required profile

• Strong attention to detail and a professional telephone manner.
• Previous experience in a similar reservations role is preferred.
• Ability to anticipate guest needs and deliver a memorable stay.

Required skills

• Proficiency with Microsoft Excel.
• Proficiency with Microsoft Word.
• Experience with hotel operating systems; knowledge of Hotsoft is advantageous.
