About the role

This role supports the busy Facilities Services team of a leading professional body in Dublin 7. You will ensure smooth day‑to‑day operations of the estate, handling help‑desk queries, maintenance coordination and stakeholder engagement.

Key responsibilities

  • Manage the facilities helpdesk and coordinate maintenance requests across the estate.
  • Monitor service performance, improve operational efficiency and response times.
  • Coordinate planned preventative maintenance (PPM) and support building systems administration (BMS, CAFM, access control).
  • Conduct building inspections and support energy, environmental, health and safety compliance.
  • Coordinate meeting rooms, event spaces and onsite operational support with staff and contractors.
  • Assist with light maintenance, facilities troubleshooting and project coordination.
  • Manage workspace, locker and car‑park allocations and produce facilities reporting and documentation.

Required profile

  • 2+ years’ experience in facilities, estates, property or helpdesk coordination.
  • Experience managing facilities‑related queries within a professional environment.
  • Strong organisational ability to prioritise a busy workload.
  • Proficiency with FM systems, helpdesk software or CAFM platforms.
  • Excellent Microsoft Office skills, especially Excel.
  • Strong communication and stakeholder‑management skills.
  • Experience preparing reports and analysing service data.
  • Ability to work independently while collaborating effectively within a team.
  • Facilities Management qualification, certification or equivalent experience.
