About the role
We are seeking a highly organised and proactive Office Manager & Executive Assistant to support a professional membership body in Maynooth. The role combines day‑to‑day office management with confidential executive support for senior leadership.
Key responsibilities
- Manage the day‑to‑day operations of the office, ensuring a professional and welcoming environment.
- Maintain relationships with external suppliers and contractors.
- Ensure compliance with health and safety, data protection, and internal office policies.
- Support planning and delivery of organisational events, meetings and member activities.
- Provide confidential executive support to the General Secretary, including complex diary and appointment management.
- Prepare correspondence, reports, presentations, agendas and meeting papers.
- Handle inbox management and communication on behalf of senior management.
- Maintain member schemes and liaise with providers.
- Respond promptly and professionally to enquiries from members, officials, employers and external stakeholders.
- Assist with organising conferences, training sessions and member events.
Required profile
- Minimum 3–5 years’ experience in office management, executive support or a similar administrative role.
- Excellent organisational and time‑management abilities.
- Strong written and verbal communication skills.
- High level of discretion and ability to manage confidential information.
- Ability to prioritise competing demands and work independently.
Required skills
- Advanced proficiency in Microsoft Word.
- Advanced proficiency in Microsoft Excel.
- Advanced proficiency in Microsoft Outlook.
- Advanced proficiency in Microsoft PowerPoint.
- Experience with online collaboration tools.
What we offer
- Permanent contract with a competitive salary of €50,000 plus DOE.
- Full‑time role (9 am – 5 pm) based onsite in Maynooth.
