Operations Executive

About the role

Kinvara Skincare is seeking an Operations Executive to manage end‑to‑end order processing, customer service, supply‑chain activities and internal systems. The role is ideal for a structured, system‑focused professional who enjoys working with customers, suppliers and cross‑functional teams.

Key responsibilities

• Coordinate order processing across all sales channels, ensuring accurate fulfilment.
• Handle customer queries via the service platform, providing timely support for orders, deliveries, returns and replacements.
• Raise and track purchase orders, liaising with suppliers and manufacturers on lead times and deliveries.
• Maintain product, supplier, inventory and order data in business systems.
• Support stock management, inventory control and discrepancy investigations.
• Work with 3PL and fulfilment partners on inbound deliveries, dispatch queries, kitting and promotional stock.
• Assist marketplace and e‑commerce operations, including stock set‑up and campaign readiness.
• Gather and file product regulatory documentation such as specifications, certificates and testing reports.
• Provide basic IT coordination, office facilities support and internal system administration.
• Identify process gaps and recommend improvements to reduce errors and enhance operational controls.

Required profile

• Experience in operations, customer service, supply chain, purchasing, inventory or product administration.
• Strong attention to detail and accuracy.
• Comfortable working with data and business systems.
• Tech‑savvy mindset with interest in leveraging AI tools for efficiency.
